Admin Assistant to Scheduler

Relief/Temp High Volume Administration Officer
- 3 to 4 weeks temp role
- Full time hours
- Approx 8.30am – 4.30pm (open to start and finish time)
- Based in Perth (5 mins from the city)
- Free Parking
- Approx $35-$37 per hour plus super
- Start date 23rd of March 2026
- Assisting the scheduling team (high volume phone calls, emails, customer relations)
The Role:
- Manage a high volume of incoming phone calls and emails, providing timely and professional responses to enquiries.
- Support the Scheduler with coordinating appointments, staff allocations, and daily schedule adjustments.
- Handle complex or difficult customer enquiries, resolving issues calmly while maintaining a high level of customer service.
- Maintain accurate administrative records, ensuring all client and scheduling information is up to date in internal systems.
- Assist with processing booking requests, cancellations, and rescheduling in a fast-paced environment.
- Liaise with internal teams and field staff to confirm availability and ensure smooth service delivery.
- Prioritise urgent requests and manage competing tasks while meeting strict deadlines.
- Monitor shared inboxes and ensure enquiries are actioned or escalated appropriately.
- Prepare reports, documentation, and administrative support materials for the scheduling team.
- Maintain confidentiality of client information while ensuring compliance with organisational procedures and policies.
The successful candidate will have:
- Proven ability to manage a high volume of calls, emails, and administrative tasks in a fast-paced environment.
- Strong communication and interpersonal skills, with the ability to handle difficult or upset customers professionally and calmly.
- Excellent organisational and time-management skills, with the ability to prioritise competing tasks and meet deadlines.
- High attention to detail and accuracy when managing schedules, records, and data entry.
- Ability to work both independently and collaboratively while supporting a busy scheduling team.
- Resilient, adaptable, and solution-focused, with a proactive approach to problem solving.
- Current National Police Clearance (no older than 6 months).
