Based North of Perth

Permanent Part time 5 days, 6 hrs. per day, flexible working arrangement

$34 – $36 per hour plus $18,500 salary packaging plus super

The Role:

The Administration Officer/Receptionist is responsible and accountable for the day to day activities of the office, ensuring that administrative and reception services are provided to residents, visitors and staff. The services provided must be of the highest quality whilst maintaining optimal efficiency and cost effectiveness. The incumbent will need to be thoroughly conversant with customer service within an aged care setting and have the capacity to support the Service Manager and staff.

  • This is a permanent part time role reporting to the Facility Manager
  • Provides timely and effective support to managers
  • Provides reception duties including telephone answering, call transfers and message taking and directing as appropriate
  • Word processing, Photocopying, Establishment and ongoing maintenance of a central filing system including ACFI files
  • Filling of rosters according to guidelines
  • Document and data control, including archiving of superseded documents.
  • Implements a service culture and ensures own service commitments are met
  • Supports the delivery of services to residents
  • Facilitates communication with residents and/or their representatives and staff in relation to office administration requirements
  • Orientate new staff and be a key user for the automated payroll system
  • Address resident/relative queries regarding finances
  • Petty cash processing
  • Preparation and allocation of accounts payable
  • Input of data and printing of forms using the Resident Information System
  • Liaises with the site Maintenance staff for processing Action Requests forms for maintenance requests
  • Facilitates the prompt and effective resolution of Action Requests related to administration service
  • Ensures minimum standards in relation to Guidelines for Residential Aged care Services and OH&S Legislation are met
  • Monitors the quality and quantity of office administration equipment and records damaged and replacement requirements, ordering office supplies, recording, receipt and distribution of office supplies to all services
  • Participates in annual performance appraisal process
  • Reports hazards, near misses and injuries immediately, uses personal protective equipment. Comply with risk management policies and procedures and instructions. Attend all safety meetings and training sessions

The successful candidate will have:

  • Previous experience in a front office environment in a busy multi-faceted role
  • Strong leadership ability and strong MS Office skills
  • Excellent customer service skills including presentation, communication and values
  • Experience working in Aged Care Homes desirable but not required
  • Individually is an effective team member and works with others in a way that empowers them to be effective team members.
  • Excellent time management skills and ability to manage conflicting priorities
  • Ability to prioritise work and negotiate with stakeholders to achieve outcomes
  • Knowledge of OH&S Act and it’s practical application
  • Ability to work unsupervised and autonomously
  • Excellent Written and Verbal Communication Skills
  • A passion and empathy for working with older residents
  • Full working rights in Australia
  • National Police Clearance
  • Proof of 2024 Influenza vaccination and covid vaccinations
